Welcome to Xplorers Adventure. Our goal is to provide safe, enjoyable, and responsible outdoor experiences. By booking or participating in any trek, camping trip, backpacking tour, expedition, or adventure activity organized by Xplorers Adventure, you agree to the following terms and conditions.
Booking & Confirmation
- A booking is confirmed only after the required payment has been successfully received.
- Participants must provide accurate personal and emergency contact information.
- Xplorers Adventure reserves the right to refuse or cancel participation if a participant's behavior, health condition, or actions pose a risk to themselves or others.
Fitness & Medical Requirements
Adventure activities may involve trekking, camping, high-altitude travel, long journeys, and physically demanding conditions.
Participants must:
- Be physically and mentally fit for the selected activity.
- Disclose any medical condition, injury, allergy, or health concern before departure.
- Understand that medical facilities may be limited in remote locations.
Any medical expenses, evacuation costs, or emergency treatment expenses shall be the responsibility of the participant.
Participant Responsibilities
During the trip, participants are expected to:
- Follow instructions given by trip leaders and guides.
- Respect local communities, customs, and environments.
- Maintain discipline and cooperate with the group.
- Carry required documents and personal gear.
Participants engaging in unsafe, illegal, or disruptive behavior may be removed from the trip without refund.
Adventure Risk Acknowledgement
All adventure activities involve inherent risks, including but not limited to:
- Accidents and injuries
- Altitude sickness
- Weather-related disruptions
- Landslides and natural hazards
- Wildlife encounters
- Transportation delays
By participating, you voluntarily accept these risks and agree that you are participating at your own discretion.
Cancellation & Refund Policy
Treks, Camping & Weekend Trips

| 4–7 days before departure | 50% Refund |
| 0–3 days before departure | No Refund |
Backpacking Tours & Expeditions
- Booking amount is non-refundable.
- More than 30 days before departure: 50% refund.
- 15–30 days before departure: 25% refund.
- Less than 15 days before departure: No refund.
Important Notes
- Refunds are processed within 5–7 working days.
- No refunds for no-shows.
- Departure dates cannot be changed after cancellation.
- Booking transfers may be permitted with prior approval.
Changes to Itinerary
Mountain travel and adventure activities depend heavily on weather, road conditions, government regulations, and other factors beyond our control.
Xplorers Adventure reserves the right to:
- Modify routes
- Change accommodations
- Alter schedules
- Replace activities
- Adjust transportation arrangements
Such changes are made only in the interest of participant safety and operational requirements.
Event Cancellation by Xplorers Adventure
If a trip is cancelled before departure by Xplorers Adventure, participants will be offered:
- A full refund of the package amount paid; or
- Transfer to another available departure (where applicable).
No refunds shall be applicable once a trip has commenced and is affected by force majeure events.
Transportation Delays
We are not responsible for losses resulting from:
- Flight cancellations
- Train delays
- Traffic conditions
- Vehicle breakdowns
- Road closures
- Weather disruptions
Any additional travel or accommodation costs must be borne by the participant.
Environmental Responsibility
We strongly follow the Leave No Trace philosophy.
Participants must not:
- Litter
- Damage natural resources
- Disturb wildlife
- Pollute water sources
Any penalties resulting from misconduct shall be the responsibility of the participant.
Limitation of Liability
To the maximum extent permitted by law, Xplorers Adventure shall not be liable for any injury, illness, property loss, delay, theft, accident, or financial loss arising from participation in our activities.

Governing Law
These Terms & Conditions shall be governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of Uttarakhand.
Acceptance of Terms
By booking or participating in any activity organized by Xplorers Adventure, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
